Unit Entry - Manual Input

Thank for your purchase of a new HandyTrac system! Before your system is shipped, units will need to be submitted as part of the set up process.

This guide will provide a basic walkthrough of manually inputting your list of units to the HandyTrac website. While we highly recommend uploading units, manual entry is available for situations where you may not have a unit list available or your list is likely to change soon.

How to Manually Enter Your Unit List

Unit Name Requirements

Every unit entered needs to meet the following criteria:

  1. Unit names can contain only the following characters:
    1. Letters
    2. Numbers
    3. Spaces
    4. Periods
    5. Dashes
  2. The maximum length for a name is 10 characters.
  3. Each unit must have a unique name.

Your system was purchased for a specific size. If your system size is 250 hooks, you can include a maximum of 250.

If you do not enter the maximum possible number of units, the unused space will be available for extra units in the future.

Making Sure the Units are Unique

Before adding in your units, take a moment to decide how to best name them in the HandyTrac system. Each key that is added to a HandyTrac system must have a unique name attached to it.

When you have multiple units named “101” in different buildings on site, you will need to assign them different names in the system.

One easy method is to combine the unit with another identifier, such as a building name, floor number, or street abbreviation.

For example, at a location with a number of buildings, each with a unit “101”, unit 101 in Building A would simply be named A101. 101 in the next building would be called B101.

Entering Your List of Units

The unit entry page will give you one box for every unit you are able to enter in to your system. The grid is visually divided in groups of ten to help you keep track of where you are in your list.

The order your units are added does not matter. If you accidentally skip an entry, you can add it at the end. You do not have to erase any other entries to place it in a specific spot.

“Increment unit name on TAB” is a feature that will automatically insert the next number or letter in the sequence when you press “TAB” on your keyboard.

Examples:

  1. Enter your first unit of “101” and press “TAB”. The next box will be filled with unit “102”.
  2. Enter your first unit name of “100A” and press “TAB”. The next box will be filled with unit “100B”.

If your units are not sequential, uncheck this box to prevent “TAB” from filling in unit names.

Be sure to include any additional keys you plan to store in the HandyTrac system such as storage, garage, mailbox, or office keys.

Setting Up the Key Groups

Key groups allow you to quickly request the entire group of keys at once instead of doing individual key requests. This feature makes tasks such as inspections and pest control much quicker.

  1. In the box next to each unit, enter a Group name to assign a group.
  2. In this example, units beginning with “A” will be assigned to Group “A”, units beginning with “B” will be assigned to Group “B”, etc.
  3. Pressing “TAB” will copy the group name in to the next box to make assignment of groups easier.

Confirm Units and Groups are Correct

  1. Double-check that the correct Unit and Groups are listed.
  2. Make sure the total count is correct.
  3. Click “Yes, This is Correct”
  4. You will be notified how many extra locations are available.
  5. Click Next.

The list of units may be sorted differently than how you entered it. This does not affect your system in any way. It is only important that everything you need is included in the list.

Finalizing Unit Submission

  1. Select the number of employees that will be using the system.
  2. Click Next
  3. If you have any changes to make, go back to the relevant steps. This is your last opportunity to make changes to units or groups before your system ships. Basic changes can be made once the system is installed, but large changes may incur a reprogramming cost.
  4. Click Finish and Submit Units
