Protecting your property starts with controlling access, and that includes access to your key management information. At HandyTrac, we prioritize security through managed authentication, single sign-on options, ongoing software updates, and configurable permissions.

Understanding these safeguards can help your organization make informed decisions about key control and establish practices that support secure, accountable operations.

Understanding HandyTrac’s Approach to Cybersecurity

If you are evaluating HandyTrac’s cybersecurity or have questions about unauthorized access, it is important to understand the protections involved.

Security involves multiple layers, including how users sign in, what they are permitted to access, and how software is maintained. HandyTrac addresses these areas through authentication services, access controls, and ongoing software maintenance.

While no connected system can be guaranteed immune to every cyber threat, we pride ourselves on the level of security we bring to our customers.

There Are No Passwords Stored in Handytracs Databases

HandyTrac uses Amazon Cognito, an Amazon Web Services (AWS) service that supports user authentication and access control.

By using Cognito to manage password-based authentication, HandyTrac helps protect your login credentials without storing passwords in HandyTrac’s own databases. We are unable to view any stored passwords.

Centralized Sign-In Through SSO

HandyTrac offers single sign-on (SSO), allowing users to access HandyTrac through a supported identity provider using their existing organizational account.

SSO reduces the need to create and remember another separate password. It also allows organizations to manage authentication through their existing sign-in provider, supporting a more consistent approach to account security.

Each employee should use their own account and keep their credentials private. Hierarchy tools can help higher level staff or dedicated IT personnel quickly and effectively manage access. This supports accountability and helps organizations manage access as employees join, change roles, or leave.

Ongoing Software Updates

Security requires ongoing attention. HandyTrac keeps its software up to date to maintain and improve the systems customers rely on.

As technology evolves, software updates help address security concerns and support reliable operation. Ongoing maintenance is part of our commitment to the tools your team uses every day.

Customers can support this effort by keeping the devices, browsers, and apps they use to access HandyTrac current.

Permissions That Reflect Your Team’s Responsibilities

Different employees need different levels of access. HandyTrac supports various permission structures on the key control system itself, allowing administrators to configure access according to employee responsibilities.

HandyTrac follows the principle of least privilege by providing each person with only the access needed for their role, helping limit unnecessary access and maintain oversight.

Permissions should be reviewed regularly, especially when an employee changes roles, leaves the organization, or when property management changes. Access that was appropriate previously may no longer be necessary.

Best Practices to Help Keep Your Information Secure

HandyTrac’s security measures work alongside your organization’s account management and everyday security habits. These practices can help protect your information:

  • Use a password manager. Choose a password manager approved by your organization to generate and securely store long, unique passwords.
  • Keep credentials private. Do not share individual logins, passwords, or verification codes with coworkers.
  • Enable multifactor authentication where available. Follow your organization’s guidance to enable additional protection through your supported sign-in provider.
  • Review access regularly. Update permissions when responsibilities change and promptly remove access when employees leave.
  • Keep devices and software updated. Install updates for your operating system, browser, and phone security patches.
  • Verify unexpected requests. Be cautious with unfamiliar links, attachments, or messages requesting account information.
  • Secure unattended devices. Lock your screen when stepping away and sign out after using a shared device.
